The Deep Dive
Over ~12 weeks from August to early December 2025, Center Mid Consulting worked with BPI’s IT team and leadership to consolidate, organize, clean, and migrate 15+ years' worth of data from Dropbox to Google Drive. The approach was built around one constraint: the agency couldn’t stop working.
The subscription renewal's timing occurred before Dropbox rolled out a comprehensive migration tool, meaning the work was almost entirely manual. To account for these factors, the migration plan included:

A communications plan with account and team leads and all staff

White-glove communications strategy and approach for individuals who needed additional support to migrate their data

An execution schedule that minimized disruptions to active account work by leveraging weekends for migrations

Direct coordination with client account leads to manage and schedule migrations during the migration timeline
During the project, Center Mid Consulting facilitated a particularly nuanced process with the BPI finance team to ensure a smooth migration with many interdependent document links. We worked with the IT lead to create a customized timeline and approach for that team to maintain privacy and security and to avoid interruption to daily operations.
As a result of the project, Center Mid Consulting managed the migration of ~50 TB of non-video-footage data and purged, cleaned, or left behind ~25 TB of non-video-footage data—reducing that overall data load (non-footage) by 23%. We also coordinated with the video team to move more than 115 TB of video footage data to a storage system specifically for video editors.
Overall, migrating the 57 active accounts, 72 inactive accounts, and client- and specialty-team folders from Dropbox to Google and migrating video footage to a video-specific storage system saved BPI a combined $115k in storage subscription fees. These efforts also protected client data through securely consolidating, purging, and migrating active and inactive accounts to a new, organized platform built in line with a comprehensive retention strategy.
